Here are a few of the things we built this month in partnership with our customers.
Workflow Ending Steps
Workflows gained a new concept this month: Ending Steps
Ending Steps allow workflows to make better determinations on the outcome of a workflow. Was the promotion case approved? Was the leave request withdrawn?
Ending Steps have their own visual treatment, with positive, negative, or neutral treatments available
Embed Decision Questions, a new question type, in workflows to control the routing through a workflow.
Example: The department chair review step can either advance the promotion workflow to dean review, or it can move the case to Denied.
These new steps also create a place to attach actions to, including:
"When the workflow moves to Approved, create a new Leave record within Scholarly"
"When the workflow moves to Denied, enroll the faculty member in the appeal workflow"
"When the workflow moves to Withdrawn, allow the faculty member to re-apply to the workflow"
New Workflow Definition Interface
To date, all workflow definitions were configured by Scholarly representatives.
This month, we redesigned the interface from the ground up to be more user-friendly and customer-facing.
We have begun rolling out this interface to a select group of customers
Workflow Definitions can either be created using the UI or using AI. Drop in a faculty handbook and create a workflow described therein
In Content mode, see the details of workflow definitions
Easily find your place in a workflow with the new left-hand sidebar
Configure conditional questions easily using the rule builder
See at a glance how different steps are configured. Which ones have actions?
See warnings if workflow definitions are invalid, with specific instructions on how to correct them
Instantly preview steps to see what the faculty member or administrator will see when moving through the workflow
In Diagram mode, use the WYSIWYG interface to sketch out and configure a workflow quickly and visually
Use the Step Library to drag and drop new steps onto the canvas
Click and drag to connect different steps to each other
Click on steps to change high-level configuration details like step actions, materials, and more
API Upgrades
All custom fields can now be used as filters. See how that works on an example resource, like Addresses.
Primary and additional appointment resources also gained filtering capabilities for non-custom fields
Fixed an error that would occur when the API resource was under heavy load, interfering with data load operations
Added API endpoints for Credit Line Items, a useful resource for workload planning
Improved the performance of endpoints when using the
?includeparameterFixed a bug where iterating through long lists of data would not return the full set of data
Miscellaneous Improvements and Fixes
Administrators can now download CVs for all faculty members in a department or academic unit
External Reviews and Letters have clearer calls to action in each workflow case
Custom fields can now have multi-select string values
Custom fields can now reference other objects, not just values
Scholarly can now send emails from an institution's domain without getting routed to spam
Heading styles can now be set for certain sections in CV Exports
Institution admins can now impersonate other institution admins, if allowed
Fixed a few bugs with CV Exports
Fixed a few bugs with SFTP connectors
Fixed a few bugs with CV Imports
Fixed a bug with workload count aggregations
Fixed an issue with generating grids
Fixed a bug with syncing Web of Science documents
Improved the performance of some of our slowest pages
